Monthly Gross Salary will be 46,994/- with other admissible benefits such as festival bonus, provident fund, gratuity, medical benefit, group life insurance etc.
The position ‘Officer-Sponsorship’ will be responsible for serving the individual supporters and Funding Affiliates (FAs), such as, UK, Italy, Greece, Sweden, Brazil, Australia and the USA to ensure smooth fundraising for ActionAid Bangladesh. Timely managing the web-based Data Management system will be the prime focus of this position. Therefore, this position will be responsible for servicing those individual supporters by ensuring:
quality communications, assisting to supporter correspondences entry and log off, responding to welcome letter, preparing Child Profile along with quality photographs and updating the database system, including timely dispatching of all the communication materials
Besides, this position will also be preparing reports like Progress Report (PR), Community News Letter (CNL), Next Step (NS) and Amico, Comminity Voices Communication materials for the respective Local Rights Programme (LRPs) as per planning. In addition, building capacity of LRP staff through regular field-visits, maintaining regular communications with LRPs, FAs and Printing houses as well as proof and content checking of various reports and publications based on LRP activities will be some other responsibilities of this position.
Moreover, the position will also be maintaining rapport with country-wide Fine Arts Institutions to facilitate capacity of the field level Sponsorship Focal persons and also to encourage children’s creativity for ensuring quality child message. As a part of capacity building of the LRP staff s/he will be responsible to organize trainings/orientation as per need.
Key responsibilities include (not limited to)
Web-based NK - Data management
Facilitating overall process and ensure proper data management on NK within deadline
Performing all periodic works of Child Message (CM), Photo & CH management for servicing individual supporters
Take all regular action and ensure timely collection of Chid Profiles, Child Message, Transfer packs, Welcome Packs, Photo update (PU) etc.
Generate CM & PU collection list from NK
Sending CM Formats, PU Cards and collection lists to respective LRPs
Guide and oversee CM, Field Workers updates & PU quality in accordance with OSS Manual
Ensure timely collection of Child Profile, Child Message and Photos from the LRPs
Dispatch all planned communication packs to supporters within deadline
Logging CM & PU process and updating other Sponsorship communication issues through NK data-management system
Managing Absent & Dropouts, handover the CMs along with Envelops for dispatching and follow up dispatching.
Managing supporter correspondences and logging in NK
Coordinate envelop printing process
Ensure timely dispatching of communication packs
Theme/issue selection for the assigned report
Share communication plan with LRPs
Collect draft report with case studies and photographs from LRP
Collect information and regular follow up to LRP for preparing the report
Prepare the first draft and sending to Funding Affiliates
Ensuring the final approval by providing information if necessary
Designing the layout for Funding Affiliate’s approval
Ensuring the printing and final dispatch of the report
Issuing work order and bill payment to Designers and printers
Maintaining regular communications with LRPs, FAs and Printing agencies.
Preparing other relevant reports for Sponsorship purpose
Regular Communication with LRPs, FAs, and Printing house and horizontal team
Regular communication with LRPs for sponsorship communication materials (Both data management & Report)
Continuous communication with Funding Affiliates for reports and for other sponsorship communications(Both data management& Report)
Communication with desktop publisher for ensuring quality design and printing of sponsorship communication materials and timely delivery
TNA of LRP sponsorship staff and share with sponsorship Manager
Arranging workshop for both in-house team and LRP staff
Arrange field visit for supporter and peer colleague (CP, FA) and accompany with them
Arrange exposure/exchange visit for LRP staff
Participate in Sponsorship national and international workshop and training
Facilitate training and workshop during national level training
Provide necessary training and support to LRP staff during field visitOrganize training/workshop on drawing for LRP staff Facilitate drawing support to children by involving Fine Arts personnel
Work for managing MoU with U English Department, Fine Arts of University of Dhaka and other joint initiatives
Relationships S/he will report to Senior Officer – Sponsorship (Data Management). S/he is expected to maintain functional relationship with his/her peers in team, priority and project management team. S/he must be able to communicate with other teams and units, both programme and function. S/he is expected to maintain relationship at the national level and Local Partners and other stakeholders at the local level.
Required qualification and competencies
Graduation from a reputed university in social sciences, or a related field
At least two years in relevant experience
Skills in writing Reports
Knowledge on Child rights
Expertise in conducting training/workshops
Ability in Managing web-based data management system
Sound in basic computer operating system
Ideas on development issues
Willing to visit field frequently
Orientation Gender sensitivity
Well conversant both way in Bangla and English
Fluent in operating computer based systems
Ability to provide effective inputs in planning & budget process
Sound in delivering effective Presentation
