IOM is looking for an Admin and Finance Assistant according to the Terms of Reference below. General Functions:
Under the direct supervision of the Head of Sub Office and overall guidance and supervision of the Chief of Mission (CoM) in Bangladesh, the successful candidate will be responsible and accountable for providing support to on-going administrative and financial activities in IOM’s office in Teknaf.
The incumbent will be assigned to inter alia, the following tasks:
  1. Disburse payments to suppliers and staff members in Teknaf upon obtaining approval from Head of Sub-office and Country Office.
  2. Verify invoices and ascertain that the equipment, supplies or services that referred to are duly received or provided before proceeding with request for payment.;
  3. Manage IOM’s inventories located in Cox’s Bazar Sub region. In this regards, maintaining optimal stock levels to ensure timely availability of products.
  4. Maintaining the records of the distribution  of medicines from the inventory stock to the health clinics
  5. Assist relevant programme units in project related procurements in the Teknaf sub-office; Prepare purchase requisition as and when needed.
  6. Prepare request for payments for processing of payable invoices.
  7. Prepare funding requests for IOM Teknaf sub-office and ensure that sufficient funds are available locally. Perform day to day banking duties of the sub office.
  8. Maintain Petty Cash and keep track of payments, receipts and non-cash vouchers; Regularly compile data and update relevant units in Teknaf and Resource Management Unit in country office.
  9. Maintaining of Cash and accounting files with proper documentation and maintain good filing system in the Admin office.
  10. Provide vehicle and store management support to Sub Office.. Submit monthly vehicle management report to CO.
  11. Keep track of office inventory/assets and be responsible for asset tagging.
  12. Undertake duty travel relating to project/programme activities.
  13. Perform such other duties that may be assigned by the supervisor
Education, Experience and Skills:
  • University Degree in Business Administration, finance and accounting or related fields
  • Minimum of four years related work experience
  • Team-work oriented, capacity to work independently; personal commitment, efficiency, flexibility, experience in working effectively and harmoniously with colleagues from varied Cultures and professional backgrounds at all levels
  • Demonstrated ability to work well under pressure and to keep deadlines
  • Excellent communication and negotiation skills
  • High level of computer literacy particularly in Microsoft suite of programs Proven ability to prepare written reports/memorandums and excellent drafting and communication skills in Bangla and English is essential
  • Experience in riding motor bikes with valid driving license
  • Understanding of local dialect is an advantage
