Key Responsibilities: Under the general supervision of the Director- Finance & Operations and direct supervision of the Senior Finance Officer, Corporate Function, Dhaka Office, the incumbent will be responsible for the following duties: Financial Role:
Process repetitive financial transactions in accordance with established accounting guidelines and policies.
Prepare monthly/ quarterly/ annual financial statements of EcoFish project for onward submission to management and Dhaka Office.
Segregate expenditures as per budget line item and timely procedure the same as and when required by the Team leader/ Project Manager/ Business Manager.
Ensure that all vouchers with its supporting documents are dully checked as per standard accounting practice/ WorldFish policy and approval of appropriate authority is taken and send to Dhaka Office as monthly basis.
Manage Field office Petty Cash fund, adjustment and reimbursement in a timely manner
With the support of other World Fish staff especially the Business Manager and Senior Finance Officer, maintain the day to day basic accounts for the EcoFish project at Barisal Office of the World Fish Center (WFC)
Ensure advances/receivables with staff are liquidated on a timely basis.
Assist to timely end of the month closure and submission of liquidation reports and submission to the management
Verify all supporting and vouchers for appropriate Account Code, Project number, Agreement, BUS, AEC/ budget codes.
Prepare accounts statement and monthly fund request submission to Dhaka Office.
Ensure that optimum fund requisition for Project Office is being forwarded to Dhaka finance after duly singed by appropriate authority.
Properly maintain all the financial and others records and timely procedure as and when required.
Ensure Inventory Management of the WorldFish Dhaka Office by purchasing of office supplies/ equipment.
Ensure all logistics and assist to organized workshop, seminar, conference, training materials/ equipment, etc.
Ensure necessary support to the different sectors in absence of Admin. Manager for smooth operation of project and keep him posted upon his return.
Raise PR/ PO/ and GRN in One Corporate System (OCS)/ ERP
Does the official procurement directly or through Dhaka Office as per WorldFish policies or in other cases, call for Procurement Committee meeting for decision
Collect quotation from suppliers/ parties and prepare Bid analysis and submit to Procurement committee and management for their approval
Ensure and track lease agreement documents of program are maintained at WF and remind for either renewal or termination of lease. Ensure timely rent payment of Office.
Provide assistance to internal and external consultants, Researchers, Donors and other visitors with information, documents and make necessary coordination
Ensure maintain records of inventory according to asset classification of WFC policies of project.
Ensure proper storing of materials and maintain stock register up-to-date. Responsible to WFC policies are maintained in issuance of store items and proper filling of documents.
Manage, supervise and ensure Barisal Field office Guest House well maintain and up to with all facilities such as Utility, Internet and dining facilities etc. and other supports services are effectively running well.
Day to day support to field level activities as when required by the project.
At least M.Com in Accounting/ Finance.
At least 5 years of relevant working experience in development sector
Experience in USAID financial operation, policies and reporting for an international NGOs
Basic accounting and book keeping and reporting knowledge
Able to prepare monthly project fund request
Knowledge on IAS, IFRS, GAAP, ISA will be an advantages
Accounting software operations including Agresso (OCS)/ ERP system
Strong in essential computer software/packages like MS Word, MS Excel, MS PowerPoint, internet and ERP solution
Ability to work with minimum supervision consistently approaches work with energy and a positive, constructive attitude with proactive rules.
This position will be based at WorldFish’s country office in Barisal, Bangladesh. The initial contract will be for 1- year, with possibility of renewal.
